Administration and paperwork in the TCF

Letters from the town hall, notices from a public service, online procedures: administration has a special place in TCF preparation, especially for the TCF IRN, where French is used precisely for official procedures. The vocabulary is precise and the register is always formal: it is a good opportunity to show that you master polite written French.

TL;DR

  • Official letters and online procedures use precise words and a formal register.
  • Key words: « la démarche », « le dossier », « la pièce justificative », « le délai », « le récépissé ».
  • A good complaint gives dates, asks a precise question and ends with a full closing formula.

Goal: You will be able to understand a letter or a notice from a French town hall and write a clear, polite complaint to a government office.

Common situations

  • « Compréhension » (listening and reading): a poster or notice from the town hall, a letter asking for documents, information about an online procedure, a welcome message from an office.
  • « Expression écrite » (writing): following up with an office that has not replied, describing a complicated procedure, comparing two opinions about paperless government services.
  • « Expression orale » (speaking): asking at a counter which documents to provide (Task 2), giving your opinion on online procedures (Task 3).

An effective complaint restates the facts with dates, mentions the document received, asks a precise question and stays courteous from start to finish.

Common mistakes

  • Writing « Bonjour » and then « bisous » or « à plus »: in an administrative letter, keep « Madame, Monsieur » and a full closing formula.
  • Writing « ci-joint les documents » without a verb: say « Veuillez trouver ci-joint les documents » or « Je joins les documents ».
  • Threatening or getting angry: a polite, precise follow-up is more likely to get an answer, and that is what the sociolinguistic criterion assesses.

A common mistake

✗ Je veux savoir pourquoi mon dossier n'avance pas, c'est inadmissible !

✓ Pourriez-vous m'indiquer où en est mon dossier, déposé le 3 juillet ?

The first message is aggressive and vague. The second is polite, precise and gives the date: this is the register expected with a government office.

Frequently asked questions

What is the difference between the « mairie » and the « préfecture »?+
The « mairie » (town hall) handles the municipality's procedures: civil registration, marriage, registering on the electoral rolls. The « préfecture » represents the State in the « département » and handles, among other things, residence permits and naturalization applications.
What is a « justificatif de domicile »?+
A recent document that proves your address: an electricity, gas or water bill, a rent receipt, a home insurance certificate. It is requested in most procedures.
What does « pièce justificative » mean?+
It is a document that proves what you declare: ID document, birth certificate, pay slip. An "incomplete" application is often one that is missing a supporting document.
How do I write to a government office in French?+
With a formal letter: a clear subject line, your file references, a precise request, a list of attachments and a full closing formula. Always use « vous » and avoid abbreviations.
